Stop Losing Paid Seats When Team Members Move On Brit Heller If you’re a team training leader, you’ve probably run into this: someone leaves the company or changes roles before they’ve barely started a course, and a paid enrollment just sits there unused and forgotten. We care about helping you maximize your training budget, so we built a way to get those seats back into the hands of people who will use them. Introducing Unused Seats and Course Credits in Your Team Dashboard When you log into HeatSpring and click My Team in the top right, you can access unused seats two ways: there’s a Show Unused Seats link at the top of your team’s Course Progress page, and a Manage Seats page in the left side menu. On the Manage Seats page, you’ll find two tabs — Unassigned Seats (seats that were purchased but never assigned to anyone) and Course Credits (enrollments that have been credited back to your team account). From either view, you can take action directly without contacting support. Reassigning a Seat vs. Converting to a Course Credit If you have someone ready to take the course, you can reassign the seat directly. If there’s no one lined up yet, you can convert the unused enrollment into a course credit and assign it when the time is right. A few things to know: Only enrollments under 10% completion are eligible. If a team member completed more than 10% of a course, that seat can’t be reassigned or converted to a course credit. The original enrollment date carries over. The person you reassign the seat to — or the person you eventually apply a course credit to — receives whatever time remains on the original one-year access window, not a fresh year from the date of reassignment. Enrollments older than a year can’t be reassigned or converted, and any course credits older than a year will be lost. However, the original enrollee can still access the course if they have an active HeatSpring Membership. For bundles, each course is evaluated independently. Transfer eligibility is determined course by course, not for the bundle as a whole. Who This Is For This feature is available to team training leaders.
